It’s Complicated provides practitioners with an easy to use appointment booking system so that they can keep track of upcoming sessions with their clients. Once you start using our appointment booking system, you also have the option to display the number of confirmed sessions you've had with clients on It's Complicated directly on your profile, showcasing your experience and building trust with potential clients early. Below we provide some tips on how to make the most out of our appointment booking feature.
Scheduling appointments with clients
You can schedule a session with a client directly in your messages. Go to the conversation with the client you want to book a session with, then click on the calendar icon on the left side next to the message text box. Select the date and hour that the session will take place and then provide the session duration. On the right side, you can see if you have any other appointments on that date to avoid double bookings. Once you are finished, hit the send CTA and wait for your client to confirm the appointment booking. If you have chosen the “prepay” option, sending a session invite will also send the client an invoice, which they will need to pay before the session can be confirmed.
Once the session is confirmed, the appointment booking with be reflected in both your calendar and your client's calendar. Clients will receive reminder notifications 2 hours ahead of the appointment start time to mitigate no-shows and last minute cancellations.
You can book a free-of-charge session with your client in the same way you book standard appointments. Go to the conversation with your client, click on the calendar icon on the left side next to the message text box, provide the session details, make sure to mark the session as “invoice-later”, and then send the appointment request to your client. Once the session has taken place, simply forego sending an invoice to the client.
Rescheduling, cancellations, and refunds
If your appointment has already been confirmed, you will need to cancel and create a new appointment with the updated details. Unfortunately you are not able to reschedule an appointment that has already been confirmed at this time.
You can cancel appointments by going to your client conversation and clicking the ‘Cancel’ CTA on the appointment modal. You can also cancel appointments from your It’s Complicated calendar. If the appointment was a prepaid session, cancelling the session will refund the client
