It's Complicated provides practitioners with an easy appointment booking system to keep track of upcoming sessions. Using our booking system also lets you display confirmed session counts on your profile, showcasing your experience to potential clients. Below are tips on making the most of our appointment booking feature.
To schedule a session with a client:
Open your calendar
Select the date and time you would like to book your session
Select your client and service type
For Essential and Premium plans: optionally set the session to recur
Choose your payment option: prepay, invoice later, or non-billable (useful for discover calls)
Send the appointment request
Once your client confirms, the appointment appears in both calendars. Clients receive automatic reminder emails 24 hours before their scheduled session to reduce no-shows and last-minute cancellations.
Prepaid sessions require a payment before the session is confirmed. This helps:
Reduce no-shows and late cancellations
Ensure you're compensated for reserved time
Streamline your practice management
When you send a prepaid session invite, your client automatically receives an invoice. The session gets confirmed once they've paid. If payment is pending 24 hours before the session, we automatically send a reminder email to complete payment.
You can schedule appointments with clients who aren't on It's Complicated. Simply enter their email address in the booking flow. They'll receive an email with a link to join the call and option to easily add the appointment to their calendar. You can join the session from your calendar as usual.
Rescheduling, cancellations, and refunds
If your appointment has already been confirmed, you will need to cancel and create a new appointment with the updated details. Unfortunately you are not able to reschedule an appointment that has already been confirmed at this time.
You can cancel appointments by going to your client conversation and clicking the ‘Cancel’ CTA on the appointment modal. You can also cancel appointments from your It’s Complicated calendar. If the appointment was a prepaid session, cancelling the session will refund the client
