Client notes are one of the most important tools in your practice. On It's Complicated, they're designed to be secure, quick to create, easy to organise, and always connected to the right client and session.
Creating a note
You can create a note in three ways, depending on where you are in your workflow:
- From your Client Center: navigate to a client's profile, select the Notes tab, and click New note. The note is saved directly to that client's record.
- From your calendar: click on any appointment and select Create note. This opens a note pre-linked to that session, keeping your documentation connected to the right date and client.
- During a video call: a note panel sits alongside your video call so you can write as you go, without switching tabs or losing focus.
Notes are saved automatically as you write and kept in draft until you mark them as complete. There's no need to save manually — you can close a note and pick up exactly where you left off.
Working with templates
When you create a note, you'll see a set of suggested templates to choose from — including SOAP, DAP, BIRP, and GIRP — common clinical frameworks that give your notes structure from the start. You can also create your own custom templates so your preferred format is always one click away.
To start from scratch, simply begin typing or use the / key for quick formatting options.
Finding your notes
All notes are stored in the Notes tab of each client's profile in your Client Center, listed in chronological order. You can search across notes for a specific client using the search bar at the top of the tab.
If you prefer to find notes by session, you can access them directly from your calendar — click on any appointment to see the notes linked to that session.
Exporting notes
To export a client's notes as a PDF, open their Notes tab and click the print icon in the top right. You'll be able to choose whether to include note titles and timestamps before exporting.
A note on security
Your client notes are encrypted by default and stored on GDPR-compliant servers in Europe — security is built into the platform from the beginning.
