You can export a complete set of data for any client at any time — useful when ending a working relationship, responding to a subject access request, or keeping an external archive of your records.
What's included in an export
A client data export includes:
- Session notes
- Appointment history
- Invoices
- Messages
The export is delivered as a password-protected ZIP file.
How to export client data
- Go to your Client Center and open the profile of the client you'd like to export data for.
- Click the three-dot menu (⋮) in the top right of the client's profile.
- Select Export data from the dropdown.
- In the modal that opens, click Create new export.
- Your export will begin processing — you'll see an "Export in progress" status while it's being prepared.
- Once ready, the export will appear under Export history with a "Ready" status. Click Copy password to retrieve the password you'll need to open the file.
- The export will also be sent to your registered email address for safekeeping.
📋 Note: Make sure to copy your password before closing the modal — you'll need it to open the file.
Opening your export
Your export arrives as a ZIP file (for example, client_export_20260416_054924.zip). Use the password from Export history to open it. The file contains your client's data in a standard format that can be opened with any text editor or imported into most practice management tools.
