It’s Complicated provides practitioners on the Essential and Premium plans access to an unlimited, GDPR-secure video calling solution. Our video solution allows you to conveniently and safely hold online therapy sessions with your clients on It's Complicated, as well as clients not yet registered on It's Complicated. Below we provide some tips on how to get started with using our video solution.
Initiating video calls with your clients
There are several options for initiating video calls with your clients depending on your use case and preferences. If you schedule appointments using the It's Complicated booking system, each confirmed online appointment will have a video call linked to it. To join a video call, you and your client simply need to click on the 'Join call' CTA found on the appointment modal on your dashboard or within your conversation.
If you prefer to not use the It's Complicated appointment system or if you have clients that are not registered on It's Complicated, you can hold a video call via your own personal online waiting room. To initiate a call via the waiting room, either send the link to your waiting room to your clients or ask your clients to hit the 'Enter Waiting Room' CTA that appears at the top of their It's Complicated conversation with you. Once your clients click on the link and enter your waiting room, you will be notified, and see them in your waiting room queue in the "Waiting Room" area of your dashboard here. To initiate a call with clients in your waiting room, simply click on the 'Join call' CTA next to their name, setup your camera and mic permissions, and then enter the call. Once you enter, your clients will be brought from the waiting room into the call.
Please note that you should agree upon how you'd like to start the call with your client ahead of the session. Make sure you and your client allow your internet browser access to your device's microphone and camera - this can be managed in the browser settings.
You can invite anyone to a video session, no matter if they are registered on the platform. To invite clients that are not registered on It's Complicated to a video call, go to the "Waiting Room" area of your dashboard, copy the link to your waiting room, and send this link to your clients via your preferred communication channel. You can also choose to add this link to your email signature or external calendar invites, for example if you use Google Calendar.
Once your client clicks on the waiting room link they can enter your waiting room as a guest. You will be notified that someone has entered your waiting room and will see them in your waiting room queue. When you are ready to start a call with your client, hit the 'Join call' CTA next to their name in the waiting room queue, make sure your camera and audio permissions are setup correctly, and then start the call with your client.
Holding video calls with several participants
You can invite two or more clients to join the same call. You will need to use your online video waiting room to start a call with multi-participants, for example if you need to have an online couples or family session.
To start a call with your waiting room, send the link to your personal waiting room to the clients you would like to join the call. Once your clients click on the link and enter your waiting room, you will be notified, and see them in your waiting room queue in the "Waiting Room" area of your dashboard. Next, simply click on the 'Join call' CTA next to the name of one of the clients in the queue, setup your camera and mic permissions, and then enter the call. Once you're in the call, you can add other clients in the waiting room queue from within the video call by opening the waiting room queue at the top right of the video call and hitting the 'Add to call' CTA next to the name of client you'd like to add.
Please note that you will first need to start a call with one waiting room participant from your dashboard and then add subsequent call participants from within the call itself.
